What can I actually do on the free plan?
Enough to run real documentation and prove its value before anyone pays. Free includes AI writing assistance, PDF publishing and the full AI-ready portal: AI search and chat, llms.txt, per-page Markdown, and an MCP server. It also includes the content-health worklist that flags what has gone stale or contradicts itself. Reader and AI-query analytics show which content readers cannot find. Author, topic and site quotas are unlimited during beta; the listed one-author, 50-topic and one-site Free limits apply after beta. Pro raises those post-beta quotas.
Why flat pricing instead of per-seat?
Per-seat pricing punishes you for growing. A 10-writer team pays about $185/mo on GitBook ($65 per site plus $12 per user). Topicary Team is a flat $149/mo for up to 10 authors. On Team, SME reviewers are unlimited and free, with no login and no per-reviewer charge. GitBook bills $12/user for the same reviewers (about $430/year for three). Pricing checked October 2026.
How is this different from Confluence or Notion?
Wikis work well for internal notes. Topicary is purpose-built for product docs that have to stay correct as they grow. Content-health checks flag what has gone stale or contradicts itself. Your published site answers questions for readers and their AI tools. Reusable components let you update one source so every topic that references it updates automatically. Nobody hunts down forty copies by hand.
Do I need to know DITA or XML?
No. Topicary's structured authoring (content reuse and conditional filtering on every plan, variables on Team) works through a familiar block editor. No angle brackets required, and Business exports to DITA XML when you need it.
Where do enterprise tools go deeper?
1 area. Professional PDF composition (running section headers, auto-numbering, and back-of-book indexes) is deeper in Flare and Paligo. Everything else ships today: structured authoring, collaboration, track changes, branching, translation, SSO, custom domains, API, and export.
