What can I actually do on the free plan?
Enough to run real documentation as one writer, and to prove it's working before anyone pays. Free gives you 50 topics, one published site with the full AI-ready portal (AI search and chat, llms.txt, per-page Markdown, an MCP server), and the content-health worklist that flags what has gone stale or contradicts itself. Reader and AI-query analytics show which content readers cannot find, with data that the docs are deflecting tickets. You upgrade to Pro when you add writers, pass 50 topics, or want AI writing assistance and PDF output.
Why flat pricing instead of per-seat?
Per-seat pricing punishes you for growing. A 10-writer team pays about $173/mo on GitBook (per site + $12/user) and $250 to $350/mo on Mintlify. Topicary Team is a flat $149/mo for up to 10 authors. And on Team, SME reviewers are unlimited and free, with no login and no per-reviewer charge, where GitBook bills $12/user for the same reviewers (about $430/year for three). Pricing checked May 2026.
How is this different from Confluence or Notion?
Wikis work well for internal notes. Topicary is purpose-built for product docs that have to stay correct as they grow: content-health checks flag what has gone stale or contradicts itself, and your published site answers questions for readers and their AI tools. On the Business plan, reusable components take it further — update a component once and every topic referencing it updates automatically, instead of hunting down forty copies by hand.
Do I need to know DITA or XML?
No. Topicary's structured authoring (content reuse, conditional filtering, variables — Business plan) works through a familiar block editor. No angle brackets required, and your content exports to DITA XML when you need it.
Where do enterprise tools go deeper?
2 areas. Professional PDF composition (running section headers, auto-numbering, and back-of-book indexes) is deeper in Flare and Paligo. Inline (sentence-level) component reuse is available in Paligo but not yet in Topicary. Everything else ships today: structured authoring, collaboration, track changes, branching, translation, SSO, custom domains, API, and export.
